Exporting and Sharing
The Settlement Tracker can export your entire negotiation session as a formatted Word document (.docx). This creates a permanent record suitable for your file, client reporting, or internal review -- and is very helpful to then populate your advice to the client at the end of the negotiations.
Exporting a Session
To export, click the Download DOCX button at the top-right of the Settlement Tracker page. The document is generated in your browser and downloaded immediately -- no server-side processing is required.
The exported file is named using the session name, e.g., Smith v Jones - Mediation -- Settlement Record.docx.
💡 Tip
You can export at any point during a negotiation -- not just after settlement. Export mid-mediation to email a summary to an absent principal, or export after an unsuccessful mediation to keep a record of the positions reached.
What the Export Includes
The DOCX report is structured into the following sections:
Title and Date
The report opens with the heading "Claim Cal Settlement Negotiations Report" and the Date of Report (the date the document was generated, formatted DD/MM/YYYY).
Parties
The plaintiff and defendant names as entered in the tracker, along with the Perspective -- whether the session was run in Plaintiff mode or Defendant mode. For example:
- Plaintiff: Black
- Defendant: Decker
- Perspective: Plaintiff mode
Offer History
A table listing every offer recorded during the session, sorted chronologically. Each row shows:

This provides a complete chronological record of the negotiation, showing how both parties converged through their exchanges.
Negotiation Summary
A summary of the final negotiation positions, including:
- Latest Plaintiff Position -- the plaintiff's most recent offer
- Latest Defendant Position -- the defendant's most recent offer
- Gap -- the difference between the two positions (e.g., $0 when the parties have met)
- Midline -- the halfway point between the two positions
- Total Movement -- the combined distance both parties moved from their opening positions
- Plaintiff Movement -- how far the plaintiff moved from their opening offer
- Defendant Movement -- how far the defendant moved from their opening offer
Take-Home Analysis
Shows the net-to-client (or total cost in Defendant mode) at three reference points:
- At Plaintiff Position -- the net amount if the matter settles at the plaintiff's latest offer
- At Defendant Position -- the net amount if the matter settles at the defendant's latest offer
- At Midline -- the net amount if the matter settles at the midline
When the gap is zero (the parties have agreed), all three figures will be the same.
Expenses
A table listing each expense item with its amount and type, plus the total. For example:

Agreed Settlement
If an offer was marked as agreed, this section shows:
- Agreed Amount -- the settlement figure (prominently displayed)
- Notes -- any notes on the agreed offer (e.g., "Incl of costs")
- Date and time the agreement was recorded
Below this, a settlement breakdown shows:
- Gross Settlement -- the agreed amount
- Total Expenses -- the sum of all recorded expenses
- Net to Client -- the amount payable to the client after deductions (or Total Cost in Defendant mode, showing the defendant's total exposure)
If no agreement was reached, the section states "No settlement agreement recorded."
Footer
The report closes with a "Generated by Claim Cal" line and the report date.
Using the Export
File Notes
Save the exported document directly to your practice management system (PMS) or document management system (DMS) as a contemporaneous record of the negotiation. The timestamped offer history provides a detailed audit trail.
Client Reporting
The export can serve as the basis for your post-settlement advice to the client. The agreed settlement breakdown -- gross amount, itemised expenses, and net payable -- provides the detail needed for clear costs disclosure and helps structure your reporting letter or email.
Internal Review
For firms that conduct matter reviews or report to insurers, the export provides a structured summary of the negotiation including all offers, the gap progression, movement statistics, and the final outcome.
Sharing with Colleagues
If another practitioner in your organisation needs to review the negotiation history (e.g., a supervising partner or costs assessor), the DOCX can be emailed or saved to a shared drive. The report is self-contained and does not require access to Claim Cal to read.
ℹ️ Note
The export is a point-in-time snapshot. If you update expenses or add offers after exporting, click Download DOCX again to generate an updated report.
